And who is ready to hand it off to someone they trust completely, knowing every detail they’ve carefully put in place will be executed exactly as intended. On your wedding day, you shouldn’t be managing timelines or fielding vendor calls. You should be getting married and soaking up every moment.
Based in Orange County and serving couples along the Southern California Coast, Catalina Island, and beyond, we accept a limited number of wedding day coordination clients each year, allowing us to give each luxury celebration our complete attention, creativity, and dedication.
What’s Included
Planning & Logistics
Beginning 60 days before your wedding
- Gather all wedding day information: contracts, timelines, floor plans, processional order, music selections, meal choices, and more
- Venue walkthrough with the couple
- Review all venue & vendor contracts, confirm scope of services, and ensure all final payments are scheduled
- Review the preliminary timeline with all vendors and make any adjustments needed
- Confirm vendor logistics — power, audio, lighting, tables, chairs, green room, and any other needs
- Work with the couple to finalize all wedding day details: hair & makeup schedule, photography shot list, speech order, dinner service flow, and more
- Finalize the wedding day timeline, floor plan, and seating chart
- Create a simplified timeline for the couple, wedding party, and family
- Coordinate and direct the ceremony rehearsal
Design & Final Details
Beginning 60 days before your wedding
- Review all designs and design setup details: rentals, florals, stationery, lighting, and any flips during the wedding
- Review all personal décor provided by the couple, including setup vision and how it will be packed at the end of the night
- Confirm the design vision is clearly communicated to all vendors and everything is ordered or booked
- Review and finalize the floor plan for ceremony, cocktail hour, and reception
- Review rain plan or backup plan for outdoor weddings — set one if not yet in place
- Create a packing list for personal items if one has not been made
- Reconfirm all details with every vendor during the final weeks: timeline, floorplan, design, load in & breakdown, venue rules & regulations, and more
Wedding Day
- Sophia as your lead, on-site coordinator and point of contact for all vendors
- Assistant coordinators as needed based on the scale of your wedding
- Vendor team management from setup through teardown
- Ensuring vendors supply according to contract
- Timeline execution and cueing all vendors for every key moment
- Set up and style all personal décor and items you bring, plus packing everything at the end of the night
- Ensuring every space — ceremony, cocktail hour, and reception — is designed and set exactly as planned before guests arrive
- Guest experience oversight: flow, transitions, and hospitality details throughout the day
- Be an advocate on behalf of the couple throughout the wedding day, including day-of problem solving

The Experience
You book
6-8 months before
While our formal work together begins 60 days before your wedding, your date is secured, and you can plan with confidence knowing your coordinator is in place. We’re also available for added support along the way, whether you have a question or want a second opinion.
Logistics & Planning Review
40-60 days before
We review your vendor contracts, build your timeline, finalize floor plans, and ensure every moving piece is accounted for. We reach out to each vendor directly to introduce ourselves, confirm details, and ensure everyone is aligned before the final stretch.
Design Review
40-60 days before
We sit down together to go through your design vision. Florals, rentals, décor details, layout — we review everything you’ve built to ensure it’s cohesive, intentional, and exactly what you imagined. If anything needs a small refinement, this is the time.
Final Details
4-6 weeks before
With each vendor, we run through every detail and make sure everyone is aligned: timing, logistics, setup, and expectations. Nothing is assumed. We handle all of it so that by the time your wedding week arrives, the only thing on your mind is how excited you are.

Our team arrives early and stays late. We orchestrate every detail behind the scenes, including setup, vendor coordination, guest flow, and timeline management. You are present for every moment. We handle everything else.
